It is of paramount importance that you carefully read and understand all the booking Terms and Conditions beforehand. These constitute the contract between you and Special Holidays as the Travel Trade associate. By making a booking with us, and paying the booking deposit, which may be the non-refundable deposit or the full payment, you assure and assent that you have fully read and understood all the booking Terms and Conditions and deliberately agreed to them.
Deposit & Balance
All bookings initially require a deposit payment as token money (in case you cancel due to any reason) and have to be submitted within 7 days of confirmation of your booking. The remaining balance is due before at least 45 days prior to your arrival. In case of bookings that are done less than 45 days before arrival, you can still make part payment at the time of booking and the balance full tour payment has to be done beforehand to confirm your bookings. Due to any reason, if we do not receive the remaining payment by the due date, we have all rights reserved to treat the booking as canceled and to apply all the cancellation charges.
Part Payment
Pay 20% now & the balance up to 15 days prior to your travel arrivals date.
Cancellation & refund
In case of any cancellation of the booking, there will be no refund of your booking deposit. For cancellation received within 45 days of commencement of services, the following cancellation fees per person for various arrangements will be applied:
- If cancellation is done 30days prior to the start of the tour date, the cancellation amount is 10%
- If cancellation is done in between 15days – 30days prior the start of the tour date, the cancellation amount is 35%
- If cancellation is done less than 15days prior the start of the tour date, the cancellation amount is 100%
- Cancellation & refund policies are dependent on the tour component attached in the package and will get altered in case of any amendment/changes in the component.
A refund is not possible after tour arrangements have commenced.
Late booking
We are ready to accept any of your last-minute bookings, at least 48 hours prior to your arrival and are subject to availability.
If the tour or any part thereof cannot be conducted due to Force Majeure or Vis Majeure, the Company shall not be responsible to give any refund to you.

However, at its sole discretion, the Company gives the refund based on various factors like the number of participants, the cancellation policies of suppliers like hoteliers, coach operators, etc. the decision of the Company on the quantum of refund shall be final.
It may take at least a minimum of 15 to 45 days to process the refund (if any due).
It is clearly understood that there shall be no refund whatsoever if the Client does not or cannot utilize any of the services like hotels, sightseeing, rides, cruises, meals, entrance fees, optional tours, etc., due to any reason whatsoever.
Refunds (If any) for amendments and/or cancellations will be paid directly to the Client for booking made directly with the Company by way of NEFT / RTGS / Crossed cheque or by credit card it will be reversed to their credit card account at the discretion of the company. It would at least take 45 days to process refunds.
There is no refund payable for any unutilized services (e.g. meals, entrance fees, optional tours, hotels, transport, and sightseeing, etc.,) for any reason whatsoever.
Any service booked in advance and canceled as per booking policy, the refund will be done in the same mode of payment after deducting cancellation charges and actual bank charges if any for refund. ( to the customer bank account if paid by bank transfer, net banking mode/credit/debit card – a reversal to their respective credit card account will be done. This process will take 15 to 45 days to reflect in their account.
Amendment fee for confirmed bookings
No kind of amendment shall be made until the deposit has been paid. Depending on the days left, the amendment policies are as follows:
45 days prior to the departure one amendment per booking is permitted, free of any additional cost.
44 days prior to the departure, any amendment made to a confirmed reservation will incur a charge per change as per the discretion of our office.
Once documents have been issued, a reissue fee will also be applied. Airfare restrictions are also applied.
Prices
Prices of the tour are based on the exchange rates at the time of booking. In the event of fluctuations or increases in airfares, fuel surcharges, taxes, hotel rates, or any other services Special Holidays reserves every right to adjust the tour pricing at a particular date until the final balance is received.
Travel Arrangements
Although Special Holidays ensures that trips are the same as advertised, but is obligated to change your complete booking or a part of it for reasons beyond control, we reserve every right to vary the itineraries, hotels, flights or any other travel arrangements provided by us. Wherever possible, you will be advised of such changes prior to the departure. However, Special Holidays shall not accept any kind of responsibility for any alternations due to any reason or for any associated loss or damage. Special Holidays also reserves the right to cancel a tour program before departure if we are forced to do so. In such a scenario, you will be compensated either by an alternative tour, and if the alternative tour is acceptable to you, your money paid to Special Holidays will be fully refunded excluding any “not payable costs”, and the cancellation fees deducted shall be as per the details mentioned in “cancellation & refund” rules.
For unforeseeable circumstances like force majeure, flight cancellation or rescheduling, accommodation overlooking, and any such events, any decision made by the independent local tour operators are at the discretion of the tour service providers or by the passenger traveling themselves. Special Holidays shall not be liable for any claim whatsoever arising from such events.
- Standard check-in time at the hotel is normally 2:00 pm and check-out is 11:00 am. Early check-in or a late check-out is solely based on the discretion of the hotel.
- A maximum of 3 adults is allowed in one room. The third occupant shall be provided a mattress/rollaway bed.
- The itinerary is fixed and in case you need any customization, do write to us in advance before the commencement of the tour. Transportation shall be provided as per the itinerary and will not be at disposal. For any paid activity which is non-operational due to any unforeseen reason, we will process a refund & the same should reach the guest within 30 days of processing the refund.
- There will be no refund for any unutilized services.
- AC will not be functional anywhere in cool or hilly areas.
- Entrance fees, parking, and guide charges are not included in the packages.
- Booking rates are subject to change without prior notice.
- Pricing of the booking is based on the age of the passengers. Please make sure you enter the correct age of passengers at the time of booking. Passengers furnishing incorrect age details may incur a penalty at the time of travelling.
- In case of unavailability in the listed hotels, arrangements for an alternate accommodation will be made in a hotel of a similar standard.
- Certain hotels may ask for a security deposit during check-in, which is refundable at check-out subject to the hotel’s policy.
- The booking price does not include Expenses of personal nature, such as laundry, telephone calls, room service, alcoholic beverages, mini bar charges, tips, portage, camera fees, etc.
- Any other items not mentioned under Inclusions are not included in the cost of the booking.
- The package price does not include any special dinner or mandatory charges at times levied by the hotels especially during New Year and Christmas or any special occasions.
Accommodations
Accommodation arranged for these trips is usually based on standard single, twin or double-bedded rooms in hotels. For the single traveller, hostel options are attractive as well. Triple rooms are not available. The images shown of hotel rooms are for description only and the actual rooms may vary considerably from the images shown.
Travel documents
It is implicit that customers must carry a passport with a minimum validity of 6 months while travelling. Visas are required for travelling to India and possession of visas is the sole responsibility of clients.
Baggage
The gratis baggage provided is 20 kg in case of domestic travel and 30 kg in case of international travel. If any customer has luggage which is exceeding the above-mentioned limits, the customer shall be solely responsible for any monetary penalty incurred to carry much luggage.
Travel insurance
Possession of comprehensive travel insurance is highly recommended. Travel insurance with respect to baggage loss or damage, theft, injuries, personal accidents and medical expenses is a small price to pay to avoid any plausible future emergencies.
Limitation of liability
Special Holidays is only the agents for the persons and companies who will provide the transportation, accommodation or any other services that are included in your bookings. All itineraries, offers, vouchers, tickets & coupons are issued, subject to the terms and conditions specified by suppliers. To the extent by Law, Special Holidays relinquishes any responsibility for any loss or damage (including are not limited to any physical or psychological injuries and loss or damage to any property of whatever nature) that could arise in any way related to the offer on supplies of goods and services through Special Holidays, or any other third party or in connection with the supply of such goods or services.
Special Holidays does not provide any covenant for any kind of physical or personal injury, trauma, loss, damage, delay, additional expenses, or inconveniences caused directly or indirectly by events, which are out of our control, including, but not limited to, war, natural calamities, acts of God, public riots ad strikes, terrorist activities, industrial and social disputes, epidemics, any medical emergencies or customs regulations.
Complaints & Claims
With our attention to detail and keen customer-centricity, we always strive to ensure you have that perfect experience. In any case of dissatisfaction regarding our tour arrangements, you can immediately let your local tour guide or escorts know about the issue, and they will make sure to they solve the issue as soon as possible. If you wish to file a complaint or claim, it should be done in writing to Special Holidays before leaving the country.
Governing Law
This contract and all matters included herein are subject to the laws of the Government of India and only Indian courts have the jurisdiction rights over any dispute or issue arising under the purview of this contract. Any matter of disputes is subjected to the exclusive jurisdiction of the High Court of Delhi.
